How to do your bookkeeping when you really, really don't want to
You know you need to do it, you've been meaning to do it all week, and you’ve even logged into Xero. But suddenly, deep-cleaning the oven or reorganising your desk feels like a genuinely appealing way to spend the afternoon. Welcome to classic bookkeeping avoidance.
If reconciling your business transactions is the one job on your to-do list you keep pushing to next week, you’re not alone. The good news is that keeping your accounts in order doesn't have to feel like a punishment. Here is how to make the process feel a lot less painful.

1. Stop telling yourself you need to “do the bookkeeping”
This is usually where the overwhelm starts. Saying you need to "do the bookkeeping" makes it sound like a massive, mountain-sized job. Instead, make your goal ridiculously specific. Tell yourself: “I am going to reconcile just 10 or 20 transactions.” Not the whole month. Not the whole year. Just 20 transactions. Once those are done, you can give yourself permission to close the tab, or keep going if you’ve built up momentum.
2. Set a 15-minute timer
Ditch the idea that you need a clear four-hour block of focus to make progress. Put your phone in another room so you don't end up scrolling, set a timer for 15 minutes, and put the kettle on. When the timer goes off, you have full permission to stop. The hardest part of bookkeeping is almost always getting started, not the actual work itself.
3. Start with the easiest wins
Don't open your software and immediately tackle the complex transaction that makes you question every decision you've ever made.
Find the quick, obvious items first:
Monthly software subscriptions → Software expense
Direct client payments → Sales income
Standard monthly bank charges → Bank fees
Knocking out five or six easy items builds instant momentum, making the rest of the list look far less daunting.
4. Stop leaving receipts until the end of the month
This is where bookkeeping usually turns into a headache. You have transactions in your bank feed, electronic receipts buried in your inbox, paper receipts crumpled in your bag, and maybe a photo of an invoice sitting on your phone from three months ago. Try to capture receipts as you spend, if you use software like Xero, you can snap a photo or forward digital invoices straight into your system on the day. When you sign up for our Core Bookkeeping Package, we connect these digital tools for you so paper receipts never pile up on your desk again.
5. Build a simple, repeatable routine
The easiest bookkeeping to do is the kind you don't have to think about. Block out a specific, small window each week—whether that's Friday morning before client work, Monday afternoon, or the first 30 minutes after school drop-off. You don't need to love it, you just need a fixed schedule so it becomes an automatic habit rather than a looming chore.
6. Pair it with something you actually enjoy
Stack the task with a reward. Grab your favourite coffee, put on a great podcast, or line up a playlist you love. Giving your brain a small positive incentive makes administrative chores much easier to tolerate.
7. If you're STILL avoiding it, ask yourself why
Sometimes the issue isn't laziness, it's confusion. You might be worried you’ve categorised something incorrectly, struggling to balance a feed, or facing months of backlogged transactions that feel completely overwhelming.
If you are months behind, continuing to avoid the problem only makes the tax bill deadline more stressful. Handing over a backlog to a virtual bookkeeper brings your records up to date quickly, taking the weight off your shoulders and setting up a clean system for the future.
The Bottom Line
Your bookkeeping doesn't need to be immaculate every single day; it just needs to be kept up regularly enough that you always know where your business stands. And if you’d genuinely rather pull your own teeth than reconcile another bank feed? That is completely fine, that’s exactly why bookkeepers exist!
